1. Information We Collect

When you use PoolMGMT, we collect the following categories of information:

Information You Provide Directly:

• Account Information: Full name, email address, phone number
• Pool Details: Pool address, city, ZIP code, pool type, size, spa details, gate codes, special instructions
• Professional Business Info: Business name, license number, insurance certificate, background check documents, years of experience, certifications, service areas, pricing
• Service Records: Visit notes, chemical readings (pH, chlorine, alkalinity, calcium hardness, cyanuric acid, salt), services performed, photos
• Communications: Messages sent between homeowners and pool professionals
• Reviews and Ratings: Ratings, written reviews, and professional responses
• Payment Information: Processed securely through Stripe; we do not store full card numbers

Information Collected Automatically:

• Location Data: GPS location of pool professionals during active service visits (for homeowner arrival tracking and route optimization)
• Device Information: Device type, operating system, browser type, app version
• Usage Data: Pages visited, features used, session duration, clicks and interactions
• Push Notification Tokens: Device tokens for sending appointment reminders and service alerts
• Cookies and Local Storage: Session identifiers, preferences, and authentication tokens

• To connect homeowners with verified pool service professionals

• To send appointment reminders, visit confirmations, and service notifications
• To verify pool professional credentials, licenses, and insurance
• To display real-time pro location and ETA to homeowners during active visits

• To suggest visit scheduling based on chemical readings and time intervals
• To facilitate in-app messaging between homeowners and professionals
• To send push notifications for reminders and updates
• To improve our platform, fix bugs, and develop new features

3. PoolQuote Pro

PoolQuote Pro is a quoting tool for pool service professionals. It collects and uses a narrower set of information than PoolMGMT.

• Information we collect: your account email address and password, verified by a one-time code emailed to you; the pricing settings you configure; your office email address and email signature; the customer records you enter (name, phone number, email address, service address); and the quotes you build, including pool and spa attributes such as size, surface type, debris level, bather load, water age, and chemical billing preference, along with the calculated prices.
• How we use it: to build and store your quotes, to email a quote to the customer you choose, and to notify you at your office email when a customer accepts or declines a quote.
• Sharing: quote emails are delivered to the recipient address you enter and are sent from a no-reply address. Your data is stored on Base44 infrastructure. We do not sell your information.
• What PoolQuote Pro does not do: it does not collect GPS or location data, does not process payments inside the app, and does not use your data for advertising or tracking.
• Your choices: you can edit or delete customers and quotes at any time in the app. To delete your account and all of its data, email PoolPayPro@gmail.com.

4. Data Sharing and Disclosure

We do not sell your personal information. We share your information only in the following circumstances:

• Between Homeowners and Pool Pros: When you book or manage a service, relevant contact and pool information is shared with your pool professional, and vice versa.
• Stripe (Payment Processing): Payment details are processed by Stripe. Stripe may collect and use your data per their privacy policy at stripe.com/privacy.
• Base44 (Platform Infrastructure): Our app is built on the Base44 platform, which provides database hosting, authentication, and cloud infrastructure.
• Push Notification Services: Device tokens are shared with Apple (APNs) and Google (FCM) to deliver push notifications.
• Weather Services: General location information may be used to fetch weather data for service visit reports.
• Legal Requirements: We may disclose your information if required by law, court order, or government authority.
• Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will notify you of any such change.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Service records (visit history, chemical readings, photos) are retained for the duration of your account to provide historical analysis. You may request deletion of your account and associated data at any time by contacting us or using the account deletion feature in the app settings.

6. Location Data

Pool professionals may share their live GPS location with homeowners during active service visits. This location data is only transmitted during active visits and is not stored permanently after the visit concludes. Homeowners' pool addresses are stored to facilitate service bookings and route planning.

7. Photos and Media

Pool professionals may upload photos during service visits (before/after treatment, equipment photos, issue documentation). These photos are stored securely and are accessible to the homeowner and the professional. Profile images and pool images uploaded by users are stored and displayed within the app.

8. Payment Information

All payments are processed securely through Stripe, Inc. PoolMGMT does not store your full credit card numbers on our servers. Stripe is PCI-DSS compliant. Learn more at stripe.com/privacy. We retain records of transaction amounts, dates, and associated service plans for accounting and dispute resolution purposes.

9. Data Security

We use industry-standard security measures including HTTPS/TLS encryption for all data in transit, secure cloud storage for documents and images, and role-based access controls. Sensitive professional documents (licenses, insurance certificates) are stored securely and only accessible to authorized personnel and the submitting professional.

10. Cookies and Tracking

We use cookies and similar technologies to maintain your login session, remember preferences, and analyze usage patterns to improve the app. We may use analytics tools to understand feature usage. You can control cookies through your browser settings, though disabling them may affect app functionality.

11. Your Rights and Choices

• Access: You may request a copy of the personal data we hold about you.
• Correction: You may update your account information at any time in the app settings.
• Deletion: You may request deletion of your account and data through the Settings page in the app or by emailing us. We will delete your data within 30 days, except where retention is required by law.
• Push Notifications: You can disable push notifications in your device settings at any time.
• Location: Pool professionals can disable location sharing from within the app.
• Marketing Emails: You may opt out of marketing communications by clicking "unsubscribe" in any email or contacting us directly.

12. Children's Privacy

PoolMGMT is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have inadvertently collected such information, we will take steps to delete it promptly.

13. California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. 14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice in the app. The "Last updated" date at the top of this page reflects when the policy was last revised. Continued use of PoolMGMT after changes constitutes acceptance of the updated policy.
